Effective volunteer opportunity management is crucial for NGO partners and volunteers. Social Career has been providing free services to help NGO partners manage their volunteer teams through our system. Meanwhile, volunteers are vital resources for NGO development, deserving of recognition and appreciation.
To facilitate coordination between organization partners and volunteers, organization partners should adhere to our rules and regulations below. Social Career will provide assistance and follow-up for violations. Repeated violations may result in the inability to use our system in the future.
Accurate description and cover photo
Timely processing of volunteer applications and hours confirmation
External application Method
Once volunteers have submitted the application on the Social Career platform, organizations can use the system to confirm their applications and service hours. If volunteers use other application methods, their service hours will not be recorded. Therefore, please refrain from placing external application methods (e.g., Google Forms, Web Registration, WhatsApp invitation, Email, Phone Number) or requesting volunteers to submit applications through these channels. If an organization has placed an external application method in the volunteer opportunity, Social Career will set the visibility of the opportunity to "unlisted" and notify the organization via email. The Organization should remove the external application method before they restore the visibility to "public".
Accurate description and cover photo
Providing an accurate service description and appropriate cover photo helps volunteers understand their duties promptly, reducing misunderstandings and disputes. If there are no suitable cover photos available, organizations can visit free online image libraries (e.g., Canva, Unsplash) to select and download copyright-free images. If an organization provides a description and cover photo that do not align with the actual service content, Social Career will set the volunteer opportunity as "unlisted" and notify the organization via email. The organization should make the necessary modifications to the description and cover photo before setting the volunteer opportunity back to "public".
Timely processing of volunteer applications and hours confirmation
Organizations should process volunteer applications (i.e., reserve, confirm, decline, cancel) and contact volunteers 3 days before the start of the opportunity. Besides, organizations should confirm volunteer attendance or service hours within 7 days after the service ends. This allows volunteers to review service records in both their Social CV and the "JC Volunteer Together Platform" (JCVTP) account (if registered).
